Our need

Reporting to the Director of Delivery Management, the Delivery Coordinator is responsible for assisting Delivery Managers with the organization and management of internal and external projects.  This role involves monitoring and updating tasks, maintaining project plans, managing budgets, and coordinating the creation of project deliverables. Delivery Coordinators are expected to complete a variety of different tasks, many of which will vary on a day-to-day basis.  A successful Delivery Coordinator at Blue Acorn is a self-starter who is able to manage deadlines, be competent in functionality of PM software and Google suite, have at least a basic understanding of the software development lifecycle, have strong math skills, have strong verbal and written communication abilities, and a strong desire to one day transition into the role of Delivery Manager or Project Manager.

Responsibilities and duties

  • ​​​​​Arrange, facilitate, and record meetings for team members
  • Create and maintain project plans and track and manage deadlines in Project Management software
  • Monitor project and task status including schedule, budget, and scope impacts
  • Communicate with team members to track and manage tasks to ensure that they are completed with high quality, on-time, and within budget
  • Create and disseminate updates, status, and metrics as input to internal and external project status reporting
  • Monitor hours and budgets on projects and keep Client Success team up-to-date relating to any overages
  • Manage work backlog and collaborate with Delivery Management team to prioritize and assign tasks to resources in an efficient manner
  • Facilitates the planning process including management of team planning tool
  • Collaborate with Delivery and Project Managers to ensure resource estimates are kept up to date in Project Management software
  • Contribute to the development and maintenance of department-related documentation
  • Drive accountability amongst team members for daily responsibilities
  • Complete monthly billing and invoicing tasks for clients
  • Monitor, review, and approve team member time sheets on a daily and weekly basis
  • Facilitate the onboarding of team members, including contractors; deliver training content to new team members

Preferred qualifications and skills

  • Minimum 2 years relevant experience
  • Project management (including risk, issue, dependency, process, and milestone management)
  • Demonstrated leadership, relationship-building, teamwork, and collaboration skills
  • Cross-functional team and people management
  • Budget and financial management including profit/loss, billing, and earned value management
  • Experience managing client and other third party relationships
  • Ability to manage and prioritize multiple projects
  • Ability to translate between technical and non-technical people
  • Ability to identify innovative ways to implement projects within established timeframes
  • Strong communication skills (written, verbal, presentation)
  • Coaching, mentoring, conflict resolution, and negotiation abilities
